How to generate the Looker Studio report once your backup is complete

This article discusses how to generate a version of the Looker Studio report template provided by Analytics Canvas in the Universal Analytics backup utility.  Your backup must be complete in order to generate your report.  Follow the steps below once your data has successfully been stored in Google Sheets or BigQuery.

This article relates to the Universal Analytics Backup Utility offered by Analytics Canvas and assumes you have selected a Looker Studio report to be included in your backup before running it. 

Step by Step Guide to Generating your Looker Studio Report

1. Upon receiving the confirmation email that your backup is ready, or when seeing the in-app notification that your job is complete, login to Analytics Canvas, go to the UA Backups menu, then click the Exports link next to your backup.  You can then either generate the report immediately, or copy the report URL and share it with another user to generate.


Before you can generate the Looker Studio report, you must be logged-in to Looker Studio and Sheets or BigQuery in the same browser with a user that has access to the data source used in the report. For more information about data access requirements, view this article.


2. To get your Looker Studio report, first log-in to Looker Studio in the same browser as you have logged into Analytics Canvas.  Next ensure that the logged-in user has access to either the Google Drive location OR the BigQuery dataset that holds the data used in the backup.

3. Once you click "Create Report", you will be shown a dialogue to help ensure you get a copy of your report saved to Looker Studio.  

You now have two options:  Copy Report URL and Create Report.

To send this report to another user who can create their own copy, such as a client from your agency, click the "Copy Report URL" button and send them the link.  Otherwise, click "Create Report" to continue.


Whether you have clicked "Create Report" or have received the URL and pasted it into a browser window, as long as you are logged into Looker Studio, you will land on a copy of the template that is linked to the dataset for this specific backup, and if you are logged in as a user with access to the data, the report will populate as expected. 

Be sure to click "Edit and share" to save this template to the logged-in user's Looker Studio account.


If you do not click "Edit and share" but instead navigate through the report, while you will see the data, the report will not save to your Looker Studio account. 

4. You will be shown the default screen asking to create the data sources in your Looker Studio account.  Accept the default settings and change them later if needed. If you attempt to change data set access at this point, you may not receive a copy of this report. 


The report will now be in the account of the Looker Studio user.  You can now share the report with others, or update dataset access before sharing. 

Sharing Looker Studio Reports with Others

To share this report with someone else, you will need to ensure they have access to the underlying data sources used in the report, OR that you have changed the data source access from Viewer credentials to Owners credentials.  Follow this article for more details. 


There are two main issues that can happen when generating the report. 

  1. The end-user doesn't have access to the datasets, shown in the first screen below.
  2. The dataset does not exist / has been removed, shown in the second screen below.
